Modeling an Archiving Plan

After creating a content group using the analyze and then archive use case or by editing the plan association of a configured content group, you can model an archive plan to achieve your archiving goals.

Modeling a plan helps you to understand space savings, cost reduction, and other insights about the data that will and will not be archived using the selected rules.

Procedure

  1. From the navigation pane, go to Protect > Archiving.

    The Archive file servers page appears.

  2. On the Content groups tab, click the content group for which you want to model a new plan.

    The content group details page appears.

  3. On the Insights tab, click on the plan dropdown option, and then select Create a new plan.

  4. To model a new plan and view potential archival savings, enter values in the following variables to view the projected cost and space savings of the content group:

    • Plan: Multiple archive plans that are associated with the content group to analyze data once, and then archive to multiple storage based on different archiving criteria.

      Note

      Only one archive plan can be associated with content groups created before the May 2024 Product Release.

    • File Timestamp:

      • Last Modified: All the files that are not modified before a specified date are used for the calculation of potential archival savings.

      • Last Accessed: All the files that are not accessed by any user before a specified date are used for the calculation of potential archival savings.

    • File Size: All the files that are larger than the specified minimum file size are used for the calculation of potential archival savings.

    • Data classification tags: All the files that have the selected data classification tags or tagsets associated with them are used for the calculation of potential archival savings.

  5. Beside File Timestamp, select either Last Modified or Last Accessed from the dropdown and enter the time duration (select days / months / years from the dropdown).

  6. Beside File Size, enter the number for minimum file size and select the measurement type (KB/MB/GB).

    The horizontal pane below displays the Projected space savings and Projected cost savings.

    Projected cost savings is based on the projected space savings and the cost per TB.

  7. To modify the Cost per TB per month used in the Projected cost savings calculation, do the following:

    1. In the upper-right area of the page, click Details.

      A Configuration section opens on the right side of the page

    2. Under Configuration section, select the edit icon next to Cost per TB per month (for cost modeling).

    3. Enter the new cost per TB per month and save the value.

      The new Projected cost savings are updated in the main page.

  8. To view potential archival savings of an existing plan, click on the plan dropdown option, and then select a plan.

    The calculations and insights are automatically updated.

  9. To understand more details of potential archival savings, scroll down to the Insights section of the page.

    This section includes the following graphs, which are calculated based on the values in the File Timestamp and File Size sections.

    • Data Type: This graph plots the “archived” and “remain on disk” file types (documents, media, pages, web pages, and others) against their total size.

    • Last modified: This graph plots the last modified time range of “archived” and “remain on disk” files against their total size.

    • Last accessed: This graph plots the last accessed time range of “archived” and “remain on disk” files against their total size.

    • Data size: This graph plots the size of “archived” and “remain on disk” files against their total size.

  10. To view the files that could potentially be archived and those that remain on disk, scroll down to File Details section to view the following tabs:

    • To be archived: This table displays all the files that could potentially be archived based on the values input under File Timestamp and File Size sections. This table also shows file location, owner, size, access time, and modified time for each file.

    • Remain on disk: This table displays all the files that could potentially remain on disk based on the values input under File Timestamp and File Size sections. This table also shows file location, owner, size, access time, and modified time for each file.

  11. To proceed with the creation of a new plan based on the values input under File Timestamp and File Size sections, click the Apply button next to Create a new plan.

    The page for creating a plan appears.

  12. To proceed with applying a prior created plan to the current content group, click Apply button next to the selected plan name.
